How can I increase the number of users to my account?

My trial expired and I need more time

What is the difference between a Free and Paid mLIMS Account?
A Free account has many limits, but can be useful for managing small animal colonies.  Compare plans here.
 
I registered my account, but when I log in I see a trial account of my own and not my lab account.
To be added as a user to a lab, you must be added by your group managers. If you signed up on your own at mlims.com, a new account will be created for you. Please

contact us

to move your account to the group.
 

USER MANAGEMENT: Adding and Removing Users, Account Owners, Account Managers, User Permissions

I cannot add a user to my account.

If mLIMS is unable to add a user, there are three possible reasons.
1. The user was added previously and deleted. Restore from Group Tool.
2. The user signed up for an mLIMS account through the website (This email is already in use).  Contact Us
3. Your account user limit has been reached. Contact Us
4. Your account is already over the user limit, and will not allow you to add more users until you delete more than the number of users over the limit.
 
How do I change the account owner?
To change the group manager, please Contact Us- and let us know who should be the new manager, and we will make the change.
 
How do I change the Group Name?
By default, the group name is the name of the person that signed up for the account.  To change it to your lab or PI name, any group manager can use the Group Tool to change the group name.
 
Can there be two owners for a group? I need to be able to delete users without asking the group manager every time.
Only the group manager can delete users, but any manager can add them. The person that manages user accounts should be assigned us group manager. Please contact us to make this change.
 
Will deleting users delete their animal and cage data?
No.  When a user is deleted, all of their data remains, and the user's name will appear as the "owner" unless you transfer the ownership to another user.
 
I cannot delete users, even though I have full permissions.
Only the group manager can delete users. Please contact the manager in your lab.  If they are not available, contact us.
 
How do I change my email address?
Use the Edit Users function in mLIMS to change your own user account's email address. You can also update anyone's email address if you are a manager.
 
I have added a new user, but they did not receive a confirmation email.
Check all SPAM folders first. If the email is still not received, the manager can assign a temporary password in the group managerOnce you have received your password from your manager,  sign in and change your password.
 
I would like to add more users, but have reached the maximum number of users.
If you have inactive users in your account, you can remove them without affecting their data.

I am not able to add or edit any cages or animals.
Your user permissions are set to read-only. Request permission from your mLIMS manager in your labIf your manager is no longer in the lab, Contact Us to resolve the issue.  We can assign a new manager and user permissions.
 
I have a single user account, but I would like to be able to send email reminders to various individual members of the lab through mLIMs for breeding reminders.
A single user account will not allow you to send email reminders to others. However, contact us and we will consider adding read-only accounts to your system so that you can select these emails in the email notifications for reminders.

DATA MANAGEMENT: Import, Export, Backups, Audit Trails

Can I archive and save all of my mLIMS records?

You can back up your files at any time using the backup feature.
You can also export any single data set in mLIMS (Animals, cages, etc)
 
Is it possible for records to have multiple owners?
It is not possible for mLIMS to assign multiple owners to a record. However, the owner of a Project can assign additional users to the records in that project.
 
I am trying to export my animal data and some fields are missing.
If you are exporting from a list in any section, such as animals or cages, make sure that all fields you want to export are in your column headings.
 
How do I add additional categories?
In each section of System Settings, there is an "additional information" area to add up to 25 fields or categories  (Animals, Cages, Matings, Litters, etc).
 
Does mLIMS have an API to easily integrate with apps and databases?

Will I able able to access mLIMS after my account expires?
You can log in to your mLIMS account beyond its expiration. Click "OK" on the trial expiration notice, and your data will be available in read-only format. You can export data at any time.
 
Is there a limit to file attachments?
Technically, there is no set space limit for file attachments. You should be able to attach as many documents and images as you need, as long as the images are in a small format such as .jpeg or .png.
 
Is it possible to export all of our animals from A different system and upload them into the MLIMS system for a quick and easy transfer?
Most online systems will allow you to export your data to a csv file.  Match the fields to mLIMS, and the import should be easy.  If there are a lot of discrepancies, Contact Us for assistance.
 
I am moving to a new institute but keeping my animal colony. What do I need to do?
All you need to do is update the email addresses of your users in mLIMS, and also Contact Us with your new contact information so that we can update your account.
 

Import From Excel

Why did my animal and cage import create genes and genotypes incorrectly?

Make sure your genes and genotypes are entered correctly in the template, and that you have indicated "genotype" as the correct header.  Under the genotype header, list your genotypes separated by a comma and a space. (alpha +/+, Alph x/y, Beta p/+).  The genotypes will automatically upload to the genotypes section in mLIMS. Use the Genotypes in Single Column option when importing. Or, you can use the gene name as the header and the genotype in the cell.  One column for each genotype (not recommended if you have a lot of them, this can be difficult to manage). See mLIMS Import Tool for more information.
You can also clean up genotypes after importing.

My animal and cage import sheet had duplicate strains, spelled or identified differently but mean the same thing

To ensure that duplicate strains are not imported, use find/replace in Excel to correct strains in the column.  For example, Find "Alpha 2" and replace with "Alpha2."
If duplicate strains are imported, you can use the strain report to clean up duplicates.
 
Can I use the Import Tool to Update Data?
You can update using the import tool by selecting "update the data when possible." In order to update, mLIMS needs the animal name in the import to update.
 
The import tool is not importing any animals, just the cages.
When importing from Excel, your data must be all copied and pasted into mLIMS at once, with the headers and data.  If you just want to import a portion, then hide the rows you are not importing instead of copying and pasting rows separately.
 
I am trying to import an excel sheet with all of my mice information. However, it does not seem to move to the next step, or thae animals are marked as dead or unknown.
mLIMS needs certain fields in order to import data. Make sure that columns are included for Animal Name and Life Status.
 
The Date of Birth is missing on my imported animals.
Check the Excel file DOB column and make sure its format is date. If is is entered as text, mLIMS cannot find the date.
 
After importing, several of my animals are showing the dam as a male or vice-versa.
Please note that when you import animals, mLIMS uses animal name as the base. If you have duplicate animals in your import, it will not know which animal to choose.  In this case, a male and female may have the same name.  Try importing your data in sections to avoid confusion.  While it is OK to have duplicate names in mLIMS, it can get mixed up in a mass import.
 
Can BioInfoRx Assist With Our Initial Import?

BREEDING MANAGEMENT: Matings, Litters, Pedigree

 
I am trying to add litters to my matings and keep getting and error that it needs parent information.
When adding litter to a trio or harem mating, the correct dam needs to be specified. Set your personal preferences for litters to show parents. Your manager has set "dam" as a required field so that you are able to select Dam 1, Dam 2, or both.
 
After adding a litter, only the Sire is appearing as a parent, and the dam is missing.
If the dam is missing from your pedigree, Set your personal preferences for litters to show parents. If you are a manager, you can make Verify Parents in Litter Information System Settings a required field in mLIMS so that it is not unintentionally left blank.  If there is more than one dam in a mating, users will need to identify which dam is the parent (both can also be selected).
 
I created a new breeding cage, but it does not show up on the list of matings and the cage card does not show any data.
A mating must be associated with a breeding cage. There are several ways to add matings, see them here. You can also set mLIMS to automatically create a mating when animals are added to a breeding cage and bypass the mating tool.
 
In a trio mating, when I split one of the females into a new cage,  I cannot add a litter to that new cage number.
Litters are added through the original mating. Go to the mating record and add the litter from that record. The mating information and pedigree will follow the dam's record.
 
Matings don't go away from the 'review mating' page when mice are sacrificed.  How can I automatically change a mating record to completed when the parents are sacrificed?
When sacrificing a breeder, use the animal section to sacrifice the animals. Animal - update- Sacrifice. The system will ask if you would like to complete the mating. This can also be done via discard cage.
 
How can I edit a litter to change its associated mating and parents?
Occasionally, a litter with pups was added to the wrong mating, and needs to be re-assigned to a different mating. This is a multi-step process, and the steps can be found here.
 
When I edit a litter and acknowledge that the litter has been weaned, the activity, genotyping, and tagging automatically switch to yes for genotyping and tagging and no for active. How do I disable this setting to record the activity manually?
If you are a manager with permission to System Settings, you can change this setting in System Settings - Matings and Litters - Litters. If you are unable to access System Settings, a manager in yhour group will be able toi change the setting.
 
The date when we set up a mating shows an incorrect date from several years ago.
Your system settings are set to a certain date format. If you manually type in a date that doesn't match the format, mLIMS will not display the date properly. You can also use the small calendar to select the date and it will display the set format.
 
I have enabled "Automatically Add Mating From Breeding Cage", but all of the breeding cages still have no mating records under the mating tab.
If the function is added after breeding cages are already created, you will need to update these cages. Go to cages - review cages - breeding. Select All Cages - Update, and select Cage Purpose - breeding. Even though the cages are already marked as breeding, this will force the new setting to "see" these cages as an update and create a mating.
 
I am trying to run a breeding performance report for only one strain of mice. Is there a way to do this?
Currently, the breeding report does not separate by strain. However, you can download the report using the download link, and filter the strains to view the report in Excel.
 
If a certain breeding pair loses its pups, what is the best way to enter that into a system without purging the litter?
Use the discard litter function in mLIMS. The discard litter tool defaults to sacrificed, so if you are tracking survival rate, be sure to change the status to "dead."
 
There is an inconsistency between DOB of a litter as a group and the individual DOB of pups in that litter.
The DOB of the litter was entered initially when the litter was created, which transfers to the pups automatically. However, if the number of pups is set to 0 and the pups are added later, the DOB must be entered at the pup level and can be copied down. This can cause the discrepancy. Determine which date is the correct one, and edit the litter DOB as well as the pups DOB.
 
I received a pregnant female mouse. How do I add a mating when I never had the male mouse in my colony?
In system settings - Matings, you can allow a female-only mating.

ANIMAL MANAGEMENT: Animal Naming, Strain Management, Deleted Animals

 
Is there a way to have the Animal Name field automatically populate with a unique number every time a mouse is created? 
You can use the automatic naming tool to create unique identifications for your animals.  For example, if you use ear punch or toe clip, the names will not be unique.  When setting up automatic naming, your first Animal ID can be named anything you wish such as Unique ID.  The animal Identification field is an auto-generated dropdown that defaults to ear tag, but you can type your new field in the box and start with a number. Your second ID will be the toe clip or ear punch.  How to set up a Unique ID
 
Animal names display correctly on the list, but whenever I click on edit, the animal name becomes the ID.
The current settings are set to automatically name the animals using the first animal ID. In this case, the animals were added with out a first ID, and the ID was added later, which is different from waht the animals were named. To correct this issue, change the animal naming to manual.
 
How can I allow mice that are different strains to have the same animal name?
In System Settings, Animals, allow duplicate animal name. Please note that when you import animals, mLIMS uses animal name as the base. If you have duplicate animals in your import, import the strains separately (do not import the same animal name repeated in one import).

When you delete data, it is placed in a recycle bin.  To restore, you can review deleted items and undelete.

If you would like to re-use the name for something else, then purge the data.
 
How can I view how many animals we had for certain months?
Use the Animal Usage Report to query usage for certain time periods.
 
When adding new animals, how do I add a new strain to the dropdown menu?

  The strain does not appear in the dropdown menu.

Use auto generated dropdowns to create strains as you go. If the strain is not available in the dropdown, click in the box and type in the new strain name (if auto-generated strain dropdown is available).
I added strains to the dropdown menu in System Settings, but I still do not see them.
If you are using customized dropdown for strains, they will not show until animals are assigned to them. Use auto generated dropdowns to create strains as you go.

There are multiple duplicate strains, spelled or identified differently but mean the same thing.

The automated dropdown menus allow users to type in new values on the fly.  A common human error is that the strain may already be in the dropdown, and the user typed it in slightly different instead.
Common solutions include using the strain report to clean up strains, do not allow users to type in new values, or set up strains in system settings - dropdown lists
 
How do I remove old strains from the dropdown menu without deleting them?
You can keep the strain menu manageable by showing active strains only in the dropdown menu.  This setting is available for ALL dropdown menus.
 
is there a way I can retrieve a list of animals that was sacrificed in a certain time period?
Animals - Search Animals - Status is Sacrificed AND DOD AFTER (date) AND BEFORE (date)
 
How can I search our mice by an ear tag number sequence?
Animals - Search Animals- Ear Tag is < (number) AND Ear Tag is > (number)

How do I discard an incorrectly made cage card?
If the cage was simply entered incorrectly, you can purge it and start over. In this case, do not use Discard, since it was an incorrect entry and should not count toward cage usage.
 
How can I trace what animals were in a cage?
Open the cage record, and click on the animal history tab to see all animals related to the cage.
 
How do I change the PI name on cage cards?
Go to system Settings - Settings - General Settings - PI Name
 
How do I swap the rows and columns in the cage map?
In System Settings - Cages - Locations, simply swap the dropdown menus for rows and columns (change both dropdowns to the opposite).

PROTOCOL MANAGEMENT:  Common Issues

 
How do I remove protocols from individual animals?
If your settings are set to assign protocol by cage, the protocol of an individual animal cannot be changed. If the protocol setting is set to assign by animal instead, this will give you the ability to remove protocols from selected animals. Making that change isn't automatic though, please Contact Us to transfer the data from cage to individual animals.
